Purpose
To set out how long Up Side Down Dance Academy (USDD Academy) retains different categories of personal data and how it is securely destroyed at the end of its retention period.
Standard Retention Periods
- Registration & emergency contact data: while the student is active + 1 year.
- Safeguarding records: retained securely for the period required by statutory guidance.
- Accident records: 3 years (adults) / until age 25 for under-18s.
- Financial / transaction records: 6 years (HMRC requirement).
- Marketing data: until consent is withdrawn.
- Photography / video: reviewed annually; removed on parental request.
Secure Destruction
Digital data is permanently deleted from primary and backup systems. Physical records are shredded by a secure provider. A destruction log is maintained.

This policy is reviewed annually alongside the GDPR & Privacy Policy.
